How vehicle rental shops can accept payments in Indonesia

Payment choice should match the customer, the value of the rental and the shop’s ability to verify and reconcile the transaction. In Indonesia, many rental operators combine cash, bank transfer and regulated digital payment methods rather than relying on one channel.

Choose a small, clear payment mix

Cash can work for in-person handover, bank transfer for domestic customers, cards for customers who prefer them, and QRIS or supported digital payment methods for fast local checkout. The right mix depends on your business entity, customers, location, fees and provider approval.

Publish which methods are accepted and when payment becomes final. Avoid improvising new bank accounts or personal payment destinations during a customer conversation.

Understand QRIS for merchants

QRIS is the QR Code payment standard set by Bank Indonesia. Merchants register through a Bank Indonesia-licensed Payment Service Provider, complete the provider’s verification and receive a merchant identity and QRIS code.

Bank Indonesia publishes the current merchant fee framework and cross-border availability. Confirm the applicable rate, settlement timing and supported international apps with your selected provider before promising the option to travellers.

A payment screenshot is not settlement. Confirm the transaction in the merchant app, provider dashboard or bank account.

Separate charges, deposits and refunds

Record the rental price, optional extras, delivery, refundable or conditional deposit and later charges as separate lines. Give the customer a clear explanation of refund timing and the conditions that may reduce a deposit.

When returning money, retain the original rental reference, payment method, amount, date and reason. This makes reconciliation and dispute handling much easier.

Build a verification routine

For every payment, confirm the payer or transaction reference, amount, currency, method, time and receiving account. Mark the rental paid only after the receiving record is visible.

Limit who can change payment status or receiving account details. Review unmatched transactions and cash balances at the end of every shift.

Prepare for international customers

Show prices in the currency you charge and explain any conversion handled by the customer’s bank or provider. If using QRIS Cross-Border, confirm support with your Payment Service Provider because availability varies by provider and partner country.

For card-not-present or remote payments, use a provider flow intended for that purpose. Never ask customers to send complete card credentials in chat.
