Build three maintenance triggers

Combine mileage, elapsed time and observed condition. Manufacturer guidance remains the baseline; rental use may justify more frequent checks for tyres, brakes, fluids, lights, battery, chain, body and safety equipment.

Record the next due value on every completed service. A reminder without a clear threshold or owner is only a notification, not a maintenance system.

Connect the workshop to availability

Create a maintenance block before the due date and leave realistic time for parts or quality checks. Do not keep a vehicle visible as bookable while the workshop expects it.

Prioritize work by safety and booking impact. If service will overrun, move the customer with consent before pickup rather than surprising them at the counter.

Learn from cost and downtime

Track work performed, parts, mechanic, cost, odometer, start and finish time. Review repeat faults and cost per vehicle instead of only the total repair bill.

A unit with strong revenue but frequent downtime may be less profitable than a simpler model. Use the history when deciding replacement and future purchases.

A completed rental should update mileage and trigger the next maintenance check automatically.
