At return
Use the pickup record as the baseline. Record return time, mileage, fuel or charge, accessories and condition before discussing deductions or additional costs.
If new damage is suspected, document facts clearly and follow the agreed process. Avoid making a final claim from memory or without supporting records.
Close the rental and reopen the vehicle
Confirm outstanding charges, deposit outcome, return receipt and customer follow-up. Mark the rental completed only when the record is finished.
Set the vehicle available only after the return inspection. If cleaning or maintenance is needed, block the required time immediately.
Build a weekly fleet-control routine
Review every vehicle against the same operational states: available, reserved, active, returning, inspection, maintenance or blocked. Confirm that the public availability and the team's next action match the real physical vehicle.
