Define the questions the report should answer
The survey should explain how independent car, motorbike and scooter rentals gain customers, receive and respond to requests, manage availability, use software and measure fleet performance.
Keep the core questions stable each year so trends are comparable. Add a clearly separated rotating module for emerging topics rather than rewriting the entire questionnaire.

Use neutral questions and defined periods
Ask about a specific recent period and observable behaviour. 'During the last 30 days, where were confirmed rentals recorded?' is easier to interpret than 'Is your business digital?'
Pretest every language version with rental owners. Pew Research Center's methodology notes that wording, order and pretesting can materially affect answers and comparability.
Protect privacy and reduce product bias
Collect only data needed for analysis, use size bands where exact fleet counts could identify a business and never publish customer information. Explain retention, access and deletion before participation.
Recruit BikeYa users and non-users through multiple channels. Report the composition separately and avoid presenting a convenience sample as every rental business worldwide.
Commit to a transparent release package
Publish the questionnaire, translations, field dates, recruitment, eligible responses, missing data, exclusions, weighting and tables behind every chart. Show counts with percentages.
Label the first edition as a baseline. Do not describe a year-to-year change until question wording, population and field method are comparable.

Build a weekly fleet-control routine
Review every vehicle against the same operational states: available, reserved, active, returning, inspection, maintenance or blocked. Confirm that the public availability and the team's next action match the real physical vehicle.
Record mileage, condition, downtime and revenue at consistent moments. A vehicle that looks busy may still perform poorly after maintenance days, turnaround time and unpaid balances are included.

Use vehicle-level evidence for fleet decisions
Compare vehicles within similar classes and seasons. Track available days, rented days, completed revenue, direct costs and unexpected downtime rather than relying on a general impression of which model is popular.
Keep the reason for every block or maintenance event. Over time, recurring causes reveal which vehicles, suppliers or operating practices are reducing capacity.
A fleet decision is stronger when the booking history, condition history and maintenance history describe the same vehicle.
