Collect enough information to answer
Ask for rental dates, vehicle choice or class, customer identity and a reliable contact method. Add pickup or delivery needs only when they affect eligibility or price.

Route the request to an accountable person

Monitor silent failures
Test the form and notification after configuration changes and from both supported languages. Track requests that were submitted but not opened, opened but unanswered, or answered without a recorded outcome.
Review failures weekly. Common causes include disabled phone notifications, unclear ownership, incomplete availability and replies sent outside the shared record.
Test the complete customer path on a phone
