Start with a precise event definition
Start the clock when a complete online request or customer message reaches the shop. Stop it at the first human response that acknowledges the requested vehicle or dates and provides a useful next step.
Report automated acknowledgment separately. It confirms delivery but does not prove that the shop checked availability or answered the customer.
Report percentiles, not only an average
Calculate median response time plus the 75th and 90th percentiles. Averages can look healthy while a meaningful group of customers waits for hours.
Segment business hours and after-hours requests, then separate web shop, Google, social, partner and returning-customer sources. Publish the sample size and period beside every result.

Connect speed bands to rental outcomes
Group responses into practical bands such as 0–5, 6–15, 16–60 and more than 60 minutes. For each band, calculate qualified requests, confirmations, completed rentals and completed revenue.
Do not claim that speed alone caused the result. Request quality, availability, price, time of day and channel can affect both response time and conversion.
Use external evidence carefully
InsideSales reported that conversion rates in its 2021 multi-industry lead dataset were more than eight times higher for attempts in the first five minutes than later attempts. That supports testing fast response, but it is not a vehicle-rental benchmark and should not be presented as one.

Test the complete customer path on a phone
Start where the customer starts: a Google result, Instagram or TikTok bio, partner message, shared BikeYa shop URL or printed QR code. Scan or open it on a phone, select dates, compare available vehicles, check the price and send a real request.
Write down every point where information is missing, repeated or inconsistent. Fix the highest-friction step first and repeat the test with an unavailable vehicle, a late-night request and a returning customer.

Use a small conversion scorecard
Track visits or conversations that reach a date search, vehicle selection, completed request, confirmed rental and completed rental. This shows whether the problem is discovery, unclear availability, a slow response or the confirmation process.
Segment the numbers by source and device before drawing conclusions. Do not increase advertising spend while serious requests are being lost through delayed replies or an out-of-date calendar.
