Marketplace commission cost calculator for vehicle rentals
Commission is only one part of marketplace economics. This calculator method makes every input visible so a rental shop can compare current contracts with direct-booking scenarios without assuming that either channel is free.
By the BikeYa team
Collect the current channel inputs
Use completed marketplace booking value, contracted commission, additional service or payment fees, shop-funded discounts, refunds charged to the shop and incremental staff or delivery work.
Read the current agreement and settlement statement. Do not use a commission percentage from another operator or an old article because product, market and contract terms can differ.
Calculate monthly effective channel cost
Commission cost equals eligible booking value multiplied by the contracted rate. Add other variable marketplace charges and funded promotions, then subtract any amounts already included to avoid double counting.
Effective channel-cost rate equals total incremental channel cost divided by completed revenue from that channel. Keep taxes and refundable deposits consistent with the agreement.
- Commission = eligible booking value × commission rate
- Total channel cost = commission + extra fees + funded discounts + incremental work
- Effective rate = total channel cost ÷ completed channel revenue
- Annual scenario = representative monthly cost × active months
Create a fair direct-booking scenario
Include advertising or partner spend, payment fees, website or software costs and additional sales labour. Divide incremental acquisition spend by completed direct rentals, not website clicks or enquiries.
BikeYa adds no booking commission and keeps its online shop, vehicle management and rental management free forever. This removes those BikeYa line items, but the rental should still include its own campaign, payment and labour costs.
Use three scenarios before changing channels
Model current, improved-direct and stress cases. Change one input at a time: completed booking value, commission, acquisition cost, cancellation or repeat rate.
Use the result to decide where the next incremental booking should come from. Do not treat the calculator as a reason to abandon demand that remains profitable and difficult to replace.
Create a calculation that another person can audit
Define every input, its source and the period it covers. Separate customer charges, refundable deposits, collected payments, refunds, channel costs and operating expenses so cash movement is not confused with earned revenue.
Test the calculation with one completed rental, one cancellation and one partially paid rental. If the result changes when a deposit is returned, the formula is probably mixing liabilities with revenue.
- Use completed rentals for earned-revenue reporting
- Keep deposits and refunds separate
- Attribute channel costs to the rentals they generated
- Document assumptions beside every scenario
Review the decision, not only the total
A useful report explains what action follows from the number. Compare vehicle class, duration, source and season so an average does not hide a profitable segment or an avoidable cost.
Keep a baseline and change one controllable input at a time. This makes it possible to distinguish a real improvement from a busier week or a different mix of rentals.
A transparent estimate with visible assumptions is more useful than a precise-looking number that nobody can reproduce.
From signup to the first online booking in minutes
Create a BikeYa account, add the vehicles, photos, prices and booking rules, and the online rental shop is ready to share in minutes. Each business gets its own shop URL: place it on Google, the business website, Instagram, TikTok, Facebook, WhatsApp, email and partner messages so interested customers reach real vehicles instead of another unstructured chat.
BikeYa also creates a QR code for the shop. Print it at the counter, place it on a vehicle, flyer, hotel desk or partner material, or share the image through social media. A customer scans the code, opens the shop, checks real-time availability and prices, and submits the booking request from a phone.
The mobile app immediately notifies the shop about new web requests and customer messages, then alerts the team to rental changes, starts and scheduled returns. For the rental record, BikeYa automatically generates a rental summary or receipt with the customer, vehicle, dates, charges and recorded payments. The shop's terms and conditions are easy to customize and are included with the rental document.
