How to create a real-time vehicle availability calendar

Real-time availability means every operational change reaches the customer-facing result quickly enough to prevent a false promise. It does not mean showing every internal detail publicly.

Define availability at vehicle level

Track the actual unit whenever customers expect a specific vehicle. If bookings are sold by class, define how many interchangeable units are ready and when a class request becomes a unit assignment.

Use precise start and end times when same-day return and pickup are possible. Date-only records can hide a conflict between a return at 18:00 and a promised pickup at 16:00.

Add the blocks a simple booking calendar misses

Maintenance, cleaning, damage assessment, document renewal, repositioning and owner use all reduce sellable capacity. Record the reason and expected end so staff know whether the block can be changed.

Add preparation buffers based on the real turnaround process. A vehicle is available only after inspection, cleaning, fuel or charge checks and required documents are ready.

Show customers enough without exposing internal complexity

Test changes from both sides

Create a booking, extend it, cancel it, block the vehicle for maintenance and shorten the block. After each change, verify the staff calendar and public search on a phone.

Repeat with two employees editing close together. The test passes only when the final state is clear and customers cannot request capacity that no longer exists.

Build a weekly fleet-control routine

Review every vehicle against the same operational states: available, reserved, active, returning, inspection, maintenance or blocked. Confirm that the public availability and the team's next action match the real physical vehicle.

Record mileage, condition, downtime and revenue at consistent moments. A vehicle that looks busy may still perform poorly after maintenance days, turnaround time and unpaid balances are included.

Keep the reason for every block or maintenance event. Over time, recurring causes reveal which vehicles, suppliers or operating practices are reducing capacity.

A fleet decision is stronger when the booking history, condition history and maintenance history describe the same vehicle.
