Prepare the pickup queue
Review the next day's pickups by time, location and vehicle. Confirm customer requirements, payment status, delivery instructions, fuel or charge level and the person responsible for the handover.

Record the moment responsibility changes

Keep active rentals visible
The active list should show expected return, customer contact, assigned vehicle and any agreed extension. Staff should not need to search the original chat to learn whether a vehicle is due today.
Record changes when they are agreed. An extension that exists only in a message leaves the availability calendar wrong and may create a conflict with the next booking.
Close the return before reselling the vehicle
Capture actual return time, odometer, fuel or charge, new condition, missing equipment and outstanding amounts. Then decide whether the unit is ready, needs cleaning, inspection, maintenance or damage review.
