UTM tracking template for rental marketing links
A small naming system lets the rental connect a click to a request and completed booking while keeping reports readable across campaigns.
By the BikeYa team
Define a controlled naming pattern
Use source for the platform or partner, medium for the channel type and campaign for the specific initiative. Keep lowercase names, hyphens and a shared reference document.
Create channel-specific links
Examples include instagram / social / summer-fleet, google-business-profile / local / direct-booking and hotel-name / referral / guest-transport. Do not put customer data in URLs.
Preserve tags through booking
Carry attribution from landing to request and customer record, then compare confirmed rentals and revenue. Keep staff-entered sources as a fallback for phone or offline referrals.
Create a calculation that another person can audit
Define every input, its source and the period it covers. Separate customer charges, refundable deposits, collected payments, refunds, channel costs and operating expenses so cash movement is not confused with earned revenue.
Test the calculation with one completed rental, one cancellation and one partially paid rental. If the result changes when a deposit is returned, the formula is probably mixing liabilities with revenue.
- Use completed rentals for earned-revenue reporting
- Keep deposits and refunds separate
- Attribute channel costs to the rentals they generated
- Document assumptions beside every scenario
Review the decision, not only the total
A useful report explains what action follows from the number. Compare vehicle class, duration, source and season so an average does not hide a profitable segment or an avoidable cost.
Keep a baseline and change one controllable input at a time. This makes it possible to distinguish a real improvement from a busier week or a different mix of rentals.
A transparent estimate with visible assumptions is more useful than a precise-looking number that nobody can reproduce.
From signup to the first online booking in minutes
Create a BikeYa account, add the vehicles, photos, prices and booking rules, and the online rental shop is ready to share in minutes. Each business gets its own shop URL: place it on Google, the business website, Instagram, TikTok, Facebook, WhatsApp, email and partner messages so interested customers reach real vehicles instead of another unstructured chat.
BikeYa also creates a QR code for the shop. Print it at the counter, place it on a vehicle, flyer, hotel desk or partner material, or share the image through social media. A customer scans the code, opens the shop, checks real-time availability and prices, and submits the booking request from a phone.
The mobile app immediately notifies the shop about new web requests and customer messages, then alerts the team to rental changes, starts and scheduled returns. For the rental record, BikeYa automatically generates a rental summary or receipt with the customer, vehicle, dates, charges and recorded payments. The shop's terms and conditions are easy to customize and are included with the rental document.
- Go from signup to a bookable shop in a few minutes
- Share the shop URL on Instagram, TikTok, Google, WhatsApp and other channels
- Let customers scan the shop QR code and enter their own booking
- Receive real-time request, message, pickup and return notifications
- Automatically create rental summaries or receipts with customizable shop terms
- Keep the online shop, rental management and vehicle management free forever
Start receiving direct online requests immediately. BikeYa adds no commission to the bookings made through your shop.
Frequently asked questions
Should every social post use a different UTM campaign?+
Only when the distinction will support a decision. Excessive unique names fragment data; group comparable posts under a meaningful campaign.
How should a rental shop measure whether this works?+
Record the source of every enquiry, response time, confirmed bookings, cancellations, revenue and service effort. Compare results by channel rather than counting visits or messages alone.
